Privacy Policy

1. Information We Collect

• Account information — your name, email, company name, phone, and a securely hashed password.
• Content you submit ("Customer Data") — jobs, properties, readings, equipment and drying logs, photos, documents, invoices, leads, form responses, and information you enter about your customers and the properties you service (such as a property owner's name, address, email, and phone).
• Payment information — if you subscribe to a paid plan, billing is handled by our payment processor. We do not store full payment card numbers; we receive limited billing details such as plan, status, and the last four digits.
• Usage and device data — log data such as IP address, browser type, pages used, and timestamps, used to operate and secure the Service.
• Analytics data: our public pages (not the signed-in app) use Google Analytics, which records the page viewed, the site you came from, and general device, browser and approximate-location information (see section 6).
• Where you came from: when you create an account we save the site or link that sent you, any campaign tag on it, the page you landed on, and your answer to the optional "How did you hear about RemediDocs?" question (see section 7).
• Electronic signature records: when your customer signs a document you sent through RemediDocs, we keep the name they typed, their drawn signature, their IP address and browser, the times the request was sent, opened and signed, and a fingerprint of the exact text they signed. We keep this as proof of the signature, and it goes on the signed PDF.
• CompanyCam import: if you use "Switch from CompanyCam", we copy your projects, photos, comments and checklists from CompanyCam using an access token you paste in. We use the token only for that import and delete it when the import ends.

2. How We Use Information

• To provide, maintain, and improve the Service and generate your reports, invoices, and documents.
• To process subscriptions and payments.
• To send service-related and, where permitted, product communications. You can opt out of non-essential emails.
• To secure the Service, prevent abuse, and comply with law.
• We do not sell your personal information or your Customer Data.

3. AI Features

If you use the optional "scan meter" feature, the photo you submit is sent to our AI provider to extract the reading and is returned to you. We do not use your photos to train models, and our AI provider processes them only to perform the requested task.

4. How We Share Information

We share information only with service providers ("subprocessors") who help us operate the Service, under contracts that limit their use of the data:

• Cloud hosting — to run the application and database.
• Object storage & content delivery (Cloudflare R2) — to store and serve your photos, floor plans, and generated documents.
• Payment processing (Stripe) — to handle subscriptions and billing.
• Card payments from your customers (Stripe Connect): only once your company turns on card payments. Your customers pay your invoices on Stripe's page, into your own Stripe account. Stripe handles the card details, and RemediDocs never sees or stores them. We keep the invoice, the amount and whether it was paid.
• Email delivery — to send notifications, portal links, and invoices.
• Website analytics (Google Analytics, by Google LLC): to count visits to our public pages only; it is never loaded inside the signed-in app (see section 6).
• Bot protection (Cloudflare Turnstile) — to check that sign-ups come from people, not bots.
• AI provider (Anthropic) — to perform meter-photo reading when you use that feature.

We may also disclose information to comply with law, enforce our Terms, or protect rights and safety, and in connection with a business transfer such as a merger or acquisition.

5. Cookies & Local Storage

We use your browser's local storage to keep you signed in (an authentication token) and to support offline use: changes you make without a connection, and a copy of the job pages you have opened, are kept on your device until they sync or you sign out. Our public pages also keep a short note of where you came from in local storage (see section 7). Google Analytics sets its cookies (such as _ga) on our public pages only (see section 6). We do not use advertising cookies.

6. Google Analytics on our public pages

The home page (including pricing), the blog (including our comparison article), the GPP calculator tool, the Getting Started guide, the sign-up and sign-in pages, this policy and the terms use Google Analytics to count visits and show us which sites and searches send people here. It records the page viewed, the site you came from, your rough location (country and region), your device type and browser, and it sets cookies so it can tell a return visit from a new one. We cut query strings and anything after a # out of the page address and the referrer before they are sent, keeping only campaign tags such as utm_source (these name the email or ad that sent you, never you), Google's advertising features are switched off, and Google Analytics does not store IP addresses. It is never loaded inside the signed-in app or on password-reset, invitation, payment or customer-portal pages, so nothing about your business, your customers or your records is sent to Google. You can block it with your browser's tracking protection or a content blocker, or opt out with Google's opt-out add-on. See how Google uses data from sites that use its services.

7. Where you came from

When you create an account we save the site or link that sent you (for example google.com), any campaign tag on that link (such as utm_source), the page you landed on, and your answer to the optional "How did you hear about RemediDocs?" question. Until you sign up this note is kept only in your own browser. Once you do, it is stored with your account and is used only to see which channels bring people in. It is not shared with anyone.

8. Data Retention

We retain Customer Data for as long as your account is active and as needed to provide the Service. After account termination we may retain data for a reasonable period for backups, legal, and dispute-resolution purposes, then delete or anonymize it. You may export or request deletion of your data at any time.

9. Security

We protect data with measures including encryption in transit (HTTPS), hashed passwords, scoped access controls that isolate each company's data, and restricted administrative access. No method of transmission or storage is 100% secure, but we work to protect your information.

10. Your Choices & Rights

You can access and update your information in the app, export your reports and invoices, and request correction or deletion of your data by contacting us. You can also delete your account yourself in Settings; see how, and what is deleted. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA; we will honor applicable rights requests.

11. Children

The Service is for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.

12. Changes

We may update this Policy. Material changes will be posted here with a new effective date and, where appropriate, notified to you.
