Privacy Policy

This Privacy Policy explains how RemediDocs ("we", "us") collects, uses, and shares information when you use RemediDocs (the "Service"). By using the Service you agree to this Policy.

1. Information We Collect

  • Account information — your name, email, company name, phone, and a securely hashed password.
  • Content you submit ("Customer Data") — jobs, properties, readings, equipment and drying logs, photos, documents, invoices, leads, form responses, and information you enter about your customers and the properties you service (such as a property owner's name, address, email, and phone).
  • Payment information — if you subscribe to a paid plan, billing is handled by our payment processor. We do not store full payment card numbers; we receive limited billing details such as plan, status, and the last four digits.
  • Usage and device data — log data such as IP address, browser type, pages used, and timestamps, used to operate and secure the Service.

2. How We Use Information

  • To provide, maintain, and improve the Service and generate your reports, invoices, and documents.
  • To process subscriptions and payments.
  • To send service-related and, where permitted, product communications. You can opt out of non-essential emails.
  • To secure the Service, prevent abuse, and comply with law.
  • We do not sell your personal information or your Customer Data.

3. AI Features

If you use the optional "scan meter" feature, the photo you submit is sent to our AI provider to extract the reading and is returned to you. We do not use your photos to train models, and our AI provider processes them only to perform the requested task.

4. How We Share Information

We share information only with service providers ("subprocessors") who help us operate the Service, under contracts that limit their use of the data:

  • Cloud hosting — to run the application and database.
  • Object storage & content delivery (Cloudflare R2) — to store and serve your photos, floor plans, and generated documents.
  • Payment processing (Stripe) — to handle subscriptions and billing.
  • Email delivery — to send notifications, portal links, and invoices.
  • AI provider (Anthropic) — to perform meter-photo reading when you use that feature.

We may also disclose information to comply with law, enforce our Terms, or protect rights and safety, and in connection with a business transfer such as a merger or acquisition.

5. Cookies & Local Storage

We use your browser's local storage to keep you signed in (an authentication token) and to support offline use. We do not use third-party advertising or cross-site tracking cookies.

6. Data Retention

We retain Customer Data for as long as your account is active and as needed to provide the Service. After account termination we may retain data for a reasonable period for backups, legal, and dispute-resolution purposes, then delete or anonymize it. You may export or request deletion of your data at any time.

7. Security

We protect data with measures including encryption in transit (HTTPS), hashed passwords, scoped access controls that isolate each company's data, and restricted administrative access. No method of transmission or storage is 100% secure, but we work to protect your information.

8. Your Choices & Rights

You can access and update your information in the app, export your reports and invoices, and request correction or deletion of your data by contacting us. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA; we will honor applicable rights requests.

9. Children

The Service is for businesses and is not directed to children under 16. We do not knowingly collect personal information from children.

10. Changes

We may update this Policy. Material changes will be posted here with a new effective date and, where appropriate, notified to you.
